Group Trips Terms and Conditions

Please read the following terms and conditions carefully. By booking a group trip via our website and associated booking platforms, you will be deemed to have read, understood, and agreed to the terms and conditions below.

DEFINITIONS

  • “We” and “us” mean Charlene Becker T/A Pinpoint Tours. “Our” and “ours” are implied by extension.
  • “You” means you or any other person for whom you are booking a group trip, or anyone acting on your behalf. “Your” and “yours” are implied by extension.
  • “Group Trip” means the group trip you are booking for, as described on our website, at the time or times and on the date or dates you select.
  • “Confirmation” means the rights of attendance of the group trip, in the form of a booking confirmation delivered electronically.
  • “Trip Leader” means our appointed representative who is leading the group trip.

BOOKING AND PAYMENT

  • A non-refundable deposit of 20% per person is required to secure your spot.
  • Full payment is due two (2) months before departure. Failure to pay the balance on time may result in cancellation without a refund.
  • Bookings made after the final payment deadline require full payment upfront.
  • You must be at least 18 years old to book a group trip.
  • You will receive a booking confirmation to confirm key booking details via email.

CANCELLATIONS AND REFUNDS

  • Cancellation by traveller:
    • More than two (2) months before departure: Refund minus the deposit.
    • Less than two (2) months before departure: No refund.
  • Cancellation by Pinpoint Tours:
    • If we cancel due to the minimum number of travellers required not met or unforeseen circumstances, you’ll receive a full refund or credit for a future trip.
    • We are not responsible for other expenses (flights, visas, etc.) related to your trip.
  • We reserve the right to delay, postpone, or cancel a group trip should circumstances arise that make the operation of a group trip impossible. These might include severe weather, major transport disruption, or some other unforeseen event.

SURCHARGES AND PRICE ADJUSTMENTS

  • Prices are based on current rates, but we reserve the right to apply surcharges due to:
    • Increased supplier costs
    • Fuel surcharges
    • Government-imposed taxes or fees
  • In the rare event of a price increase, travellers will be notified as soon as possible. If the increase exceeds 20%, you may cancel with a full refund.

ITINERARY DISCLAIMER

  • The itinerary is subject to change due to weather, availability, or operational reasons.
  • We strive to maintain the planned route, but modifications may be made for safety or practical reasons.

GROUP TRAVEL CODE OF CONDUCT

  • Travellers must be respectful, inclusive, and mindful of fellow group members.
  • In the event of any traveller behaving in such a way as to cause or be likely (in our reasonable opinion or the reasonable opinion of any person in authority), to cause offense, harassment, danger, damage, significant discomfort, or distress to others, or excessive intoxication, or refusal to follow safety guidelines, we reserve the right to refuse attendance of the group trip or to request you to leave the group trip without a refund and to take appropriate action to enforce this right.

HEALTH AND SAFETY

  • By booking a group trip, you agree that you and any members of your group for whom you are making a booking are capable of participating in the group trip as described.
  • Some level of fitness is required for our group trips, depending on which group trip you are doing the levels of fitness may vary. You should be physically fit and in general, have good health. If you are uncertain please contact us before making a booking.
  • You are responsible for your own personal safety and belongings at all times.
  • You must sign our indemnity form before you will be allowed to participate in a group trip.

TRAVEL INSURANCE

  • Travel insurance is mandatory and must cover medical expenses, trip cancellations, and adventure activities.
  • Proof of insurance must be provided before departure.

GRATUITIES

  • Group trips do not include gratuities.

IMAGES AND MARKETING

  • You agree that while participating in any group trip, images, photos, or videos may be taken by other travellers, the trip leader, Pinpoint Tours, or its representatives that may contain or feature you.
  • You consent to any such pictures being taken and grant a perpetual, royalty-free, worldwide, irrevocable license to Pinpoint Tours, its contractors, sub-contractors, and assigns, to reproduce for any purpose whatsoever (including marketing, promotions, and the creation of promotional materials by or with sub-licensees), in any medium whatsoever, whether currently known or hereinafter devised, without any further obligation or compensation payable to you.
  • You have the right to withdraw this consent at any time and the right to have the content erased. To exercise this right, you can email Pinpoint Tours.
  • We cannot be held accountable or liable for the use of any images taken of you by other travellers on the group trip or by other individuals who may photograph you while you participate in a group trip with us.

LOSS, DAMAGE, INJURY, DEATH

  • We cannot be held responsible for the loss of or damage to your personal property during the group trip. Please keep your belongings safe at all times.
  • We shall not be responsible for any death or personal injury during the group trip, howsoever caused, save where caused by our negligence or for any other matter for which it would be illegal for us to limit, or attempt to limit our liability.
  • In no circumstance shall we be liable for any indirect, special, or consequential loss, including but not limited to loss of profit, data, revenue, business opportunity, anticipated savings, goodwill, or reputation whether in contract, tort, or otherwise arising out of or in connection with this agreement or bookings made through our website, save where such liability cannot be excluded by law.

COMPLAINTS PROCEDURE

  • Should you have a complaint about any aspect of the group trip, you must notify the trip leader immediately so that the problem can be quickly resolved during the trip.
  • If the matter cannot be resolved to your satisfaction straight away, you can email Pinpoint Tours within 48 hours with the details of your complaint.

PRIVACY POLICY

  • We must collect your personal information to deliver the group trip booked.
  • We collect, use, and disclose only that information reasonably required to enable us and our Third Party Suppliers to provide the particular group trip that you have booked.
  • By submitting any personal information to us, you indicate your acceptance of our Privacy Policy.

CHANGES TO OUR BOOKING TERMS AND CONDITIONS

  • These Booking Terms and Conditions are effective as of 8 March 2025 and will remain in effect except with respect to any changes in its provisions in the future, which will be in effect immediately after being communicated and agreed by you.
